A Reply to a Letter of Complaint

Hello,
Imagine the following situation:

You work at the airport as a Customer Service Representative. You receive this letter of complaint from a customer. Reply to the letter in 150 words. Be courteous, apologise for the inconvenience and explain the procedure.

You can use some of the expressions below:

Dear Sir or Madam,

The other day I brought my 16 year-old daughter to your airport because she was flying to Sri Lanka for the first time by herself. I attempted to park in the drop off area so that I could help her get to the check-in desk with all her luggage.
I was told (in a very rude manner) that I could not stop there, and that I had to move my car immediately. Consequently, I had to leave my daughter there all by herself while I parked the car, and she was almost late for her flight. I would appreciate an explanation.

    Please, accept our apologies The reason why you were told to move your car is because of our regulation and you know the security measure is very important. There are some sensitive places in and around the airport. The drop -off area is one of the sensitive places so no one is allowed to park in it because if we allowed passengers to park there would be more traffic in it. Also for the safety and efficiency this is part of security measures. As you know the airport faces a lot of problems like crimes and terrorist so we have to set up some rules and regulation to ensure the security.
    Finally we promise you to tell all employees to speak with all passengers politely and calmly. We are working and putting these rules only for our customers to feel comfortable and safe.

    Please accept our apologies for talking to you in a rude manner. On behalf of customer service, I would like to explain for you some of the security measures that are secure in our airport. First of all, you mustn’t park in the drop off area, because it’s not allowed for all people who arrive to the airport. You must park in the parking area to be far from troubles. This is part of the security measures in place in out airport. The reason why you mustn’t park in the drop off area is that police men will go directly to you and ask you to the parking area. And for being far from all the problems with police men or security outside the airport, you should follow the restriction and direction of our airport. Now, I am going to advise you instead of going to the airport with your daughter to check in her luggage, you can check in at your home without wasting your time. Now, let me explain to you what exactly you must do if you decide to check in your daughter baggage on the internet. Firstly, you go on the internet and open the website of your chosen airline. Then, you click on check in. the only thing that you should do is follow the procedures on the internet to continue your checking in. Questions that will be asked like form of identification, booking reference and passenger last name. After that, you click on check in. finally, on your last step; your daughter boarding pass will be send to you by the internet. Then your daughter must go to the airport and confirm her boarding pass to go onboard the plane. In general, I hope that my advice will help you in the future. Please accept our mistake; I apologize for being rude with you.

    I apologise for letting your daughter in her first time to go to the check-in decks with all her luggage without your help and your attendances, for the convenience for all the passengers and the drivers, we would like all the drivers to stop the car in the car parking area to avoid any congestion in the drop of area.
    Please, accept my apologies for the rude manners from the security, they might be under pressure and they didn’t mean to treated you rudely and make your daughter to stay alone in her first experience.

    Please, accept our apologies for the rude manner from the security but it is not allowed to park in the drop off area and this is the rules from the airport.

    The reason why you were told to remove your car from the drop off area is because it will be inconvenient for the rest of passengers and drivers to park in the parking area which will block the entrance of the terminal and cause a lot of congestion.

    In general, I hope that my advice will help you in the future. Please accept our mistake; I apologize for being rude with you.

    Please, accept our apologies for the way you were treated rudely from the security. The reason why you were told to move your car is because it is regulation. For the convenience for everyone we do not allow anybody to park in the drop off area but you can park in the parking area. The drop-off is one of the sensitive places in the airport. For that reason we have to put new roles to make our passenger feel safe and comfortable. On behalf of customer service, I would like you to know the airport facing a lot of issue likes crimes and terrorist so we have to set up some rules and regulation to ensure the security.

    Finally, we are sorry and we promise you to tell all our employees to speak with passenger politely and calmly.
